Boardroom Rental Terms & Conditions
Basic Package Hourly Rental Rates (Includes use of Boardroom, table and chairs)
Tenants Non-Tenants
Hourly $ 25.00 $ 40.00 (+5% GST)
Full Package Hourly Rental Rates (Includes the use of teleconferencing equipment and audio-video equipment: Cable TV, DVD, VCR, PC hook-up, Wireless Internet)
Tenants Non-Tenants
Hourly $ 40.00 $ 65.00 (+5% GST)
- Payment for the boardroom bookings must be made at the time of booking by credit card only. Cancellation is allowed prior to 4:30pm until the day before your booking date for a full refund. Cancellations made after 4:30pm will not be refunded. There will be a $25.00 (+5% GST) fee for any declined credit card.
- One hour minimum charge for Tenants.
- Two hour minimum charge for Non-Tenants.
- Any portion of an hour will be charged as a full hour.
- Any additional time taken beyond the booked time will become due and payable via the credit card on file. After hours bookings will need to be paid in advance via credit card and any additional time taken will be deducted from the credit card.
- It will be mandatory to sign in upon commencement and sign out upon termination of your meeting.
- No changes between packages can be made after payment is received.
- Access to the Boardroom is through the front doors of the Boardroom located to the side of the administration office (not through the administration office doors).
- A cleaning fee of $25.00 will be automatically deducted from the credit card we have on file for any cleaning we are required to do on your behalf. A cleaning fee of $50.00 will be automatically deducted from the credit card we have on file for any food garbage left over. It is up to you to clean the boardroom before you leave. Failure to pay will result in your being denied use of the boardroom in future visits. The responsibility for guests using the boardroom and for the condition of the boardroom will be assumed by the person whose signature is on the boardroom sign-in sheet.
- Use of the conference phone: local or toll-free calls only are included in the full package. Long distance calls will be charged back to the Tenant.
- Should there be any damage to the Premises, the cost of repairs plus 15% administration fee will be invoiced to the Licensee.
- All activity conducted in the Boardroom must abide to the laws of Canada and of British Columbia, and the pertinent terms and condition of your Lease, if a City Square Tenant.
